Effective Date: 10.08.2025

1. Scope of Services

We provide architectural drawing services for residential projects, including:

  • Planning drawings

  • Building regulations / construction packs

  • Site/location plans

  • 3D visualisations

  • Design consultations

We do not provide:

  • Structural calculations or engineer sign-off

  • On-site construction supervision

  • Guarantee of planning approval or Building Control sign-off


2. Client Responsibilities

By engaging our services, you agree to:

  • Provide accurate and complete information about the project/site

  • Respond to emails or requests within reasonable timeframes

  • Confirm all final decisions in writing

  • Inform us of any constraints (e.g. party walls, boundaries, easements)

We are not liable for delays, errors, or additional charges caused by:

  • Inaccurate information

  • Site access issues

  • Uninformed project changes

  • Missing third-party inputs (e.g. structural, planning consultants)

3. Payment Terms
  • Quotes are valid for 14 days and based on a clear, agreed scope

  • A deposit (typically 50%) is required before work begins

  • Final payment is due before the release of any usable drawing files

  • Late payments may incur interest (per UK Late Payment of Commercial Debts Act)

Drawings remain our property until paid in full.

4. Revisions Policy
  • All quotes include one round of minor revisions (unless stated otherwise)

  • Further revisions are chargeable at our standard hourly rate or by agreement

  • Revisions must be requested within 14 days of receiving your drawings

  • Major design changes may require a new quote

5. Delivery Times
  • Planning drawings: 3–5 working days (typical)

  • Construction drawings: 5–10 working days (typical)

  • Timescales may vary based on workload, complexity, or client delays

  • Delays caused by incomplete info, unclear scope, or 3rd parties are not our responsibility

6. Use of Drawings & Copyright
  • All drawings are prepared for the client’s personal use on the specific project discussed

  • Drawings must not be reused, modified, or shared with others without our written consent

  • Any unauthorised reuse or redistribution is a breach of copyright

  • We reserve the right to display anonymised versions of work in our portfolio or marketing

Copyright remains with Field Plans Co. unless otherwise agreed in writing.

7. No Guarantee of Approval
  • We do not guarantee planning or building regulations approval

  • Approval decisions rest solely with your local authority or Building Control body

  • We will work to current standards and best practice, but approval is beyond our control

  • No refunds are issued in the event of refusal, objection, or delay from authorities

8. Construction Disclaimer
  • Our drawings are prepared to support Building Regulations compliance and provide detailed construction guidance.
    However, they are based on the information provided by the client and do not replace the need for:

    • Structural calculations or engineer input

    • Site-specific construction advice

    • Final approval from Building Control

    The client and their contractor are responsible for checking dimensions, confirming site conditions, and ensuring compliance during construction.

    We are not responsible for any errors or issues arising from on-site decisions, changes made without our input, or incorrect execution of the drawings.

9. Limit of Liability
  • We are not liable for:

    • Planning or Building Control refusal

    • Costs from project delays

    • Contractor or builder errors

    • Loss of profits or indirect damages

    • Site disputes or boundary issues

Our total liability is strictly limited to the total fee paid to us for that specific project.

10. Cancellation & Refund Policy
  • You may cancel in writing at any time

  • If work has started, you will be charged for all work completed to date

  • Deposits are non-refundable once any work has commenced

  • We reserve the right to withdraw services if:

    • Communication becomes unreasonable

    • Project scope changes significantly without agreement

    • There is abuse, delay, or non-payment

11. Dispute Resolution

We aim to resolve all issues fairly. If a dispute arises, both parties agree to attempt informal resolution before legal action. This does not affect your statutory rights.

12. Governing Law

These terms are governed by the laws of England and Wales.
All disputes shall be resolved under the jurisdiction of UK courts.

13. Company Information

All services provided under the Field Plans Co. brand operate as part of Kay Moden Limited and are covered by the same legal and contractual terms. Field Plans Co. is not a separate legal entity but a specialist branch focused on planning and construction drawing services within the Kay Moden group, registered in England and Wales No. 11764230.
